VISOR, or Organizational Visitation, is one of the work programs under the Department of Public Relations and Cooperation of the International Relations Study Program Student Association of Universitas Diponegoro (HMPSHI UNDIP). This work program is organized as an effort to expand relations between student institutions while serving as a platform for exchanging information, experiences, and organizational insights between international relations student associations. In 2026, VISOR was held in collaboration with KOMAHI UGM (International Relations Student Corps of Universitas Gadjah Mada), carrying the spirit of collaboration, learning, and improving organizational quality through interactive and open discussions.
The VISOR 2026 event was held on Saturday, May 16, 2026, located at Universitas Gadjah Mada, specifically in the Bulaksumur area, Caturtunggal, Kapanewon Depok, Sleman Regency, Special Region of Yogyakarta. The choice of location was based on a mutual agreement between HMPSHI UNDIP and KOMAHI UGM as the host for this year’s organizational visitation. Universitas Gadjah Mada was chosen as it served as the venue for the main activities, which included material presentations, cross-departmental discussion sessions, and a Focus Group Discussion (FGD) involving participants from both organizations.
VISOR 2026 was attended by a total of 53 participants, consisting of 10 committee members and 43 event participants. The committee was formed from the Department of Public Relations and Cooperation of HMPSHI UNDIP, which was responsible for preparing and coordinating the entire series of events. Meanwhile, the participants consisted of the Executive Board (BPH) of HMPSHI UNDIP, the Internal Control (PI) of HMPSHI UNDIP, Department Chairpersons and Vice Chairpersons, as well as two functionary delegates from each department within HMPSHI UNDIP. The involvement of these various administrative elements aimed to ensure that the organizational insight exchange could take place thoroughly and reach all structural levels of the organization.
The execution of VISOR 2026 was motivated by the mutual need of both organizations to foster friendly relations while strengthening institutional ties among international relations students from different universities. In addition to being a means to expand networks, this event also served as an organizational learning medium through the exchange of experiences regarding the working systems, administrative mechanisms, and organizational cultures implemented by each association. HMPSHI UNDIP and KOMAHI UGM possess distinct structures, work programs, and organizational execution methods, so this visitation event was expected to provide an opportunity for both parties to understand one another and learn about the strengths as well as challenges in managing their respective organizations.
The differences in working systems between the organizations were one of the primary reasons for holding VISOR 2026. In practice, each student organization has distinct internal mechanisms, divisions of labor, and coordination patterns adapted to the needs and character of the organization. Therefore, through this visitation event, HMPSHI UNDIP and KOMAHI UGM were able to exchange perspectives regarding organizational governance, the execution of work programs, internal communication patterns, and human resource development strategies within the administration. Through this exchange of insights, it is hoped that each participant can acquire new, relevant knowledge to be implemented and developed within their respective organizations.
The VISOR 2026 event was carried out through a series of agendas systematically arranged by the committee. One of the main agendas of this activity was the organizational presentation session by each party. During this session, HMPSHI UNDIP and KOMAHI UGM took turns introducing their organizational structures, administrative systems, flagship work programs, and event execution mechanisms within their respective organizations. The presentations were delivered by representatives from each department, allowing participants to understand the core duties and functions (tupoksi) of every division in a more detailed and comprehensive manner.
After the presentation session concluded, the event continued with a Focus Group Discussion (FGD) lasting approximately 60 minutes. In this session, participants were divided into groups based on similar departments or core work functions to conduct a more in-depth discussion. The FGD served as a platform for participants to exchange experiences, share obstacles encountered while running their organizations, and discuss solutions or innovations that could be implemented within their respective administrations. Additionally, this session featured an active Q&A between participants from HMPSHI UNDIP and KOMAHI UGM regarding work program execution, internal organizational management, regeneration patterns, and strategies for maintaining coordination among committee members.
Through the Focus Group Discussion, participants not only gained new insights into the other organization but also had the opportunity to evaluate the systems already implemented within their own. The two-way discussion enabled a constructive exchange of ideas and perspectives, allowing participants to see alternative approaches to running a student organization. Consequently, VISOR 2026 was not merely an organizational visit but also a shared learning space that fosters administrative quality improvement and human resource capacity development within the organization.
In addition to expanding organizational insights, VISOR 2026 is also expected to strengthen the good relationship between HMPSHI UNDIP and KOMAHI UGM. The inter-institutional ties forged through this event are hoped to open up opportunities for future collaborations, whether in the form of collaborative programs, discussion forums, or other academic and non-academic development activities. The direct communication established between the committee members also serves as a positive step toward building a professional, supportive, and sustainable relationship between international relations student associations.
Overall, VISOR 2026 has proven to be a work program that provides positive benefits for all participants involved. This event not only strengthens friendly relations and networks among students but also offers valuable experience in understanding organizational dynamics from a different perspective. Through the exchange of information and insights during the event, it is hoped that participants can implement the knowledge gained to support the development of HMPSHI UNDIP for the better in the future.
